Identifying unused space before expansion
Map coworking space by zone and time, diagnose low use and assess practical changes before an expansion decision.
Before expanding a coworking site, check whether existing space could meet the demand that is going unserved. An area empty at one moment may be occupied later, reserved for another purpose or unsuitable for the task. Map use by zone and time, then assess a change against the specific shortage.
Map what each area does
List desks, rooms, quiet and call areas, circulation, storage and shared facilities. Record who may use each zone, when it is available and whether it can be booked or changed. Keep entrances, corridors and essential facilities on the map even though they are not seating capacity.
Observe ordinary and busy periods. For each zone, note its intended use, whether it was available and whether it was used for that purpose. An empty room held by an unused reservation is different from one nobody requests. A vacant-looking desk may be reserved, faulty or unsuitable.
Diagnose low use
For an apparently unused area, ask:
- Is it available?Check access rights, hours, reservations and maintenance closures.
- Is it suitable?Check the furniture, power, noise, privacy and task it would serve.
- Can members find and use it?Check signs and allocation rules.
- Does it become available when demand occurs?Spare room time in the morning cannot solve an afternoon shortage.
- What would be displaced?A conversion may remove another service members need.
Compare observations with failed booking requests and member reports. A report points to a condition to investigate; it does not by itself prove the need for more floor area.
Assess changes before adding space
Where the issue is allocation, consider a clearer rule or releasing unused reservations. Where equipment limits use, assess a repair. A temporary layout or scheduling change may be informative if the site permits it.
Record what benefit is expected and check the relevant busy periods afterwards. Some changes may be impractical to trial; document that constraint rather than treating a trial as mandatory.

An expansion case should identify the resource repeatedly unavailable, the time it is needed, reasonable changes assessed and the demand still unserved. Keep future membership and revenue forecasts separate from observed occupancy, with their assumptions stated.
